Tips on creating and sending out an RFP:

  • Keep the information relevant. Detail is strongly recommended, but it should relate to the project being discussed.
  • You should aim to send an RFP to at least 6 prospective partners. This will allow you to see a range of proposals and shortlist down to 2 or 3 partners to hear full pitches from.
  • Don’t expect all potential partners to submit a proposal. Based on the requirements of the project some partners may decide they are not the right fit and will choose not to submit one.
  • When selecting a prospective partner, look to see if they have case studies or examples of work that they have completed that is relevant to your sector.
  • Data is not necessary. For example, you don’t need to provide in-depth data from Google Analytics. If an agency requires this, they will ask for it.
  • After submitting your RFP some partners may request a discovery call. They should be able to get most of the information out of your RFP document, but they may need further clarity on certain points.
  • Make sure you build adequate time into your process for potential partners to work on an RFP. They should have time to consider your RFP document and say whether or not they would like to pitch. Failure to do so will result in you receiving generic proposals, or none at all.
